What is DQ File and why is it critical for onboarding CDL drivers

DQ file or Driver Qualification file is a list of documents that a Trucking Company must have before onboarding a driver.

Due to the genuine danger that can come from large trucks, it’s absolutely vital to know that your drivers are capable of doing the job – and that’s not just good advice; it’s the law.  Under Federal Rule 391, anyone employing professional drivers operating vehicles listed below:

  • Group A combination vehicle, over 26,001 lbs.
  • Group B: Heavy straight vehicle, over 26,001 lbs.
  • Group C: Small vehicle designed to transport 16 or more passengers or hazardous materials

It is very important that a trucking company to prepare a DQL file.  It must have at least the following to meet DQ requirements before a CDL driver is hired:

  • Drug Testing Related:
    • Proof of Consortium for the company and driver enrollment
    • Pre-employment Drug Test report
    • Pre-employment Query report
  • Driving Record
    • Motor Vehicle Record  (MVR): an official document from a state’s Department of Motor Vehicles (DMV) detailing your driving history
    • PSP or Preemployment Screening Program is a Federal Motor Carrier Safety Administration (FMCSA) report containing a commercial driver’s 5-year crash and 3-year roadside inspection history
  • DOT Physical or Medical
  • Employment Verification Requests for Previous Employers and their Response

Depending on company HR policy, the company may want to conduct the following tests and keep document for record

  • Criminal Background check
  • Employment Verification
  • I9 and E-verify as proof of employment eligibility
